This Cookie Policy explains how Scribeberry Inc. ("Scribeberry", "we", "us", or "our") uses cookies and similar technologies on patient booking pages, patient portals, and related surfaces hosted on scribeberryclinics.com and associated domains.

1. What are cookies?

Cookies are small text files stored on your device. Similar technologies include local storage, session storage, and pixels. We use "cookies" in this Policy to refer to these technologies collectively where they serve a similar purpose.

2. Cookies we use

Strictly necessary cookies: required to operate the Platform. They enable secure sign-in, session continuity, load balancing, fraud and abuse prevention, cookie-preference storage, and core booking or portal functions. These cookies do not require consent under typical PIPEDA / ePrivacy essential-purpose interpretations, but we still describe them here for transparency.

Optional analytics cookies: used only if we enable product analytics that are not strictly necessary, and only with your consent through the cookie preference control (when shown). Analytics help us understand aggregate feature usage and improve reliability. As of this version date, optional analytics cookies are not enabled by default on patient booking and portal surfaces (v1 scope is essential cookies only).

We do not use third-party advertising cookies on clinic patient booking or portal pages.

3. Examples of essential purposes

Authentication and session management for staff and patient accounts.

Remembering cookie acknowledgment or preference choices.

Security, rate limiting, and service integrity.

Remembering short-lived booking wizard progress where stored on-device.

4. Consent and preferences

When optional analytics are available, you will see a cookie banner or preferences control allowing you to accept or reject optional cookies. You can change your mind later via the "Cookie preferences" link in the footer where that control is offered.

Essential cookies will continue to be set because the Platform cannot function securely without them.

Your browser settings may also let you block or delete cookies. Blocking essential cookies may prevent sign-in, booking, or portal features from working.

5. Retention

Session cookies typically expire when you close your browser or after a short idle period. Persistent cookies remain for a defined period (for example, to keep a preference) and are then deleted or renewed. Exact durations vary by cookie purpose and are kept only as long as needed for that purpose.

6. Updates

We may update this Cookie Policy when our practices change. The "Last updated" date will change accordingly. If we introduce optional analytics on a surface that previously used essential cookies only, we will present a consent choice before setting those optional cookies.
